The most obvious reason for having company documentation is typically to distribute information and increase efficiency by reducing question / answer cycles and increasing familiarity with procedures. Another important component of corporate documentation is often ensuring that employees have signed off as being notified of certain policies, such as sexual harassment, dress code, HIPA, etc. We are proud to announce that we are nearing the release of an "Op Doc Compliance" feature for our "Ultimate" package clients.

The compliance feature works by tracking which users have executed an on-line agreement for Approved Op Docs associated with their position(s). This is handy for a couple of reasons. Firstly, a publisher can easily view a report of which users have complied or not complied with op docs. Secondly, a user can easily see from their Op Doc Wizard Dashboard any op docs which apply to their position which they have not yet reviewed and agreed to. This feature eliminates the ambiguity of who knows what within your business or organization and ensures, from a liability standpoint, that you as an employer have taken the necessary precautions in educating your employees.

Feature Tour

Below is a quick tour of the Op Doc Compliance feature.

Op Docs for the user's position appear as red with red stars next to them if the user has not yet complied with the op doc. Op Docs which have been complied with already appear as blue with blue stars next to them.

Dashboard Notifications

When viewing an Op Doc which requires compliance and no compliance is on record, a special message is displayed. Users must check the agreement statement check box and click the "Confirm Agreement" button to dismiss the message and submit their compliance.

Compliance Agreement

After submitting the compliance record, the user receives an on-screen confirmation and will not see the compliance agreement again in the future until a new revision is approved.

The Publisher may view a list of all compliance records received or not received. Compliance records not received are indicated in red. Additionally, clicking the mailbox button automatically generates and sends compliance reminders to any contacts with email addresses that have not complied with one or more op docs.
