Who needs OpDoc Wizard? Anyone that strives for consistent results. Things either get done by one person or a group of people. If it's one person the chances of producing consistent results are fairly high, even though that one person still needs reminders of how to complete infrequent tasks. The more individuals you add to the situation the lower the chances are that results will be consistent.
You can rely on two forms of communication to transfer operational knowledge from one person to another. With verbal communication one person shows another how to perform a certain task. This may be sufficient for a very small group, but the more people you add to the situation the more unpredictable this transfer of knowledge becomes. You can explain to one person how to accomplish a task but the minute you rely on them to explain it to a third person you have lost control of the information. The second form of communication in this circumstance is written documentation. By monumenting your operational information in written format you create a culture in your organization that encourages input and improvement as well as greatly increasing your chances for consistent results. This documentation serves as a stake in the ground that everyone can go back to if results get away from the standard established. You minimize the impact of any individual leaving your organization because you have as much of their knowledge archived as possible. Most importantly you build a platform for improvement by narrowly defining how your organization does what it does. The OpDoc Wizard is the ideal tool for establishing this culture and creating your organization's knowledge base. This tool is built around the following 3 principles. Organization is Key: No one wants to have to flip through a notebook to try to find the document they are looking for.....even a server or traditional online document manager does not allow any user to group the documents the way that makes sense to them. The OpDoc Wizard allows customized search queries and display options. Documents can be grouped by position description are any other customizable document tags. When the spirit of improvement is truly a part of your organization's culture individuals need to see that their suggestions are being implemented. Ideas get forgotten, papers get misplaced......central servers allow people too much discretion on how they store and name files.......formatting varies. The ODW makes it simple for users to suggest new processes and comment on existing ones in a consistent, organized manner. Watch a video about Suggestions and Comments [here]. Collaboration is the Cornerstone of Improvement: Unless you have all of your organizational documentation already in place you're going to have to start from scratch by getting each employee or group member to define the work they do in document form. This process is likely going to require some form of a review and approval process. The paper trail created by having multiple users and multiple document revisions can be difficult to manage. The ODW makes this process simple with features that accommodate several different document statuses, revision tracking, and document assignments.
